Studio Policies & Guidelines — 2026/2027 School Year

Registration Policies

Age requirements are only guidelines. All class placements are subject to approval of the instructor. Please note that some classes will require prerequisites, auditions, or invitation. BYPC reserves the right to revise our class schedule, reassign an instructor, and cancel a class without notice.

Financial Responsibility

By registering, you agree to all BYPC payment, refund, make-up and cancellation policies. You are responsible for full payment of tuition, registration fees, production fees, late fees and any other applicable charges.

School Year Session — Payment Information

Tuition is based on a full school year and is prorated to your start date. Two payment options are available:

Annual Payment — a 2% discount is applied. Accepted via check, cash, MasterCard or Visa.
Monthly Installments — tuition is divided into 10 equal monthly payments beginning September 1 (or

your start month) through June 1. Payments are processed via auto-debit from your bank account, MasterCard or Visa.

Online payments can be set up through the Parent Portal. For additional payment options, please contact our office at (603) 472-3894. Receipts will be emailed. Tuition must be paid in advance of classes or lessons. There are no charges for BYPC-observed holidays or scheduled school vacations.

Vacation Camp & Summer Session — Payment Information

All camp and Summer Session tuition is non-refundable and non-transferable and must be paid in advance. Online payments can be set up through the Parent Portal. For additional payment options, please contact our office at (603) 472-3894. Receipts can be accessed through the Parent Portal and will also be emailed to the address associated with your account.

Student Withdrawal Policy

School Year Session

Withdrawals made within two weeks of registration may be processed without penalty. Please note that registration fees and deposits are non-refundable.

After the two-week period, a four-week written notice is required for all withdrawals. Notice must be submitted to our main office via email or in person. Auto-debits will continue through the four-week notice period and will end thereafter. Annual payers will receive a pro-rated refund for the remaining balance after the notice period, minus the 2% annual discount.

Please note: If you need to withdraw temporarily, we cannot guarantee the same class or lesson time upon your return.

BYPC reserves the right to terminate services to any student at its discretion. In such cases, tuition may be refunded.

Vacation Camp & Summer Session

All camp and Summer Session tuition is non-refundable and non-transferable. Withdrawal from any camp or Summer class or lesson will result in forfeiture of tuition.

Photo & Media Release

You grant BYPC permission to use photos, video and audio recordings of your child for educational and promotional purposes across print, digital and social media platforms. Names will not be used without explicit permission.

Video Surveillance

For the safety of our students and families, BYPC maintains 24-hour video surveillance in classrooms and entryways. Cameras are not installed in private spaces such as restrooms or dressing rooms. Footage is used for security purposes only.

In Case of Emergency — Medical Authorization

You authorize BYPC to seek medical treatment for your child in the event of an emergency when a parent or guardian cannot be reached. You affirm that emergency contact and physician information has been provided and kept up to date in the Parent Portal, and that your child is in good physical and mental health unless otherwise disclosed.

Please notify BYPC of any severe allergies or medical conditions that staff should be aware of. This information can be noted in your child's profile in the Parent Portal or communicated directly to our front desk.

In the event of a medical emergency, staff will contact 911 immediately. The parent or guardian is responsible for any medical expenses incurred.

Tardiness Policy

Please arrive on time for all classes and lessons. Late arrivals disrupt instruction and limit your child's ability to fully participate. Students who are consistently late may not be able to participate in performances.

• For 60-minute classes, do not arrive more than 15 minutes late.

• For 30–45 minute classes, do not arrive more than 10 minutes late.

Dance: Students arriving late will be asked to observe rather than participate. Missing a proper warm-up is a safety concern and we take that seriously.

Acting, Performance & Group Voice: Students arriving late will have missed critical class content and instructors cannot take time away from the group to catch them up — late arrival will affect your child's ability to fully participate.

Private Lessons: Lesson times cannot be extended to accommodate late arrivals. If a student has not arrived within 15 minutes of their scheduled lesson time, the instructor is not required to wait and may use that time for other work.

Pick-Up: Our educators teach back-to-back classes and cannot supervise students beyond class dismissal time. Please arrange timely pick-up. If you are running late in an emergency, contact our front desk and your instructor promptly.

Cancellation & Make-Up Policy

Classes or Lessons Cancelled by BYPC

If a class or lesson is cancelled due to inclement weather, teacher absence or other emergency, it will be rescheduled. You will be contacted by our front desk or your instructor to arrange a make-up.

School Year Session

Group Classes: There are no guaranteed make-ups for student absences. If a class of the same or lower level has availability, a make-up may be offered pending teacher approval.

Creative Kids Preschool: There are no make-up sessions for missed preschool days.

Private Music Lessons:

• Students are entitled to two make-up lessons per year for illness-related absences — one per half of the school year.

• Students who enroll after January are entitled to one make-up lesson for the remainder of the year.

• Make-ups must be completed during the Summer Session (June–August) and are scheduled on a first-come, first-served basis.

• Missed make-up lessons are forfeited and will not be rescheduled.

Vacation Camp & Summer Session

Group Classes: There are no make-ups available for student absences from group classes.

Camps: Camps will not be cancelled by BYPC. There are no make-ups available for student absences from camps.

Private Music Lessons — Student Cancellations:

• At least 24 hours notice during business hours is required to reschedule a lesson.

• Rescheduling is subject to teacher availability. If a mutually available time cannot be found, the lesson will be forfeited.

• Lessons missed without notice or cancelled with less than 24 hours notice will be forfeited and cannot be made up.

Release of Liability

As the legal parent or guardian, I release and hold harmless BYPC, its owners and operators from any and all liability, claims, demands and causes of action whatsoever, arising out of or related to any loss, damage or injury, including death, that may be sustained by the participant and/or the undersigned, while in or upon the premises or any premises under the control and supervision of BYPC, its owners and operators or in route to or from any of said premises.

BYPC and its instructors are not responsible for injuries or damage to personal property. Dance and performance are physical activities where injuries may occur. Students are responsible for informing instructors of any limitations and may opt out of activities as needed.
